About Us:
The Junior League of Little Rock is a non-profit organization of women whose mission is to advance women’s leadership for meaningful community impact through volunteer action, collaboration, and training. We own and manage a beautiful historic building in Downtown Little Rock, and we are seeking a dedicated Building Rental Manager to oversee the rental operations of this facility.
Position Overview:
The Junior League of Little Rock is looking for a Building Rental Manager to join our team. The ideal candidate will be responsible for managing all aspects of our event space rental operations, ensuring seamless and successful events for our clients. This role requires excellent organizational and communication skills, attention to detail, and a passion for customer service.
Key Responsibilities:
Client and League Member Relations:
- Act as the primary point of contact for clients interested in renting our event space.
- Conduct site tours and provide information to potential clients, addressing inquiries and concerns promptly.
- Collaborate with clients to understand their event needs and customize rental packages accordingly.
- Maintain positive relationships with clients, vendors, and partners to ensure satisfaction and repeat business.
- Act as the primary point of contact for League members booking meetings at the building.
Event Coordination:
- Coordinate event logistics, including setup, teardown, and on-site supervision to ensure a seamless experience for clients.
- Work closely with clients to create event timelines, manage event schedules, and troubleshoot issues as they arise.
- Oversee and manage event staff, security, and janitorial teams.
- Oversee the setup of meetings and events for members, including the setup of AV equipment.
Administrative Tasks:
- Manage rental agreements, contracts, and invoices, ensuring all necessary documentation is complete and accurate.
- Maintain an organized calendar for event bookings, ensuring availability and proper scheduling.
- Handle payments, deposits, and refunds in accordance with organizational policies.
Marketing and Promotion:
- Work with the Marketing Vice President to market and promote the event space to attract potential clients.
- Collaborate with the Marketing Vice President to create promotional materials, including brochures, website updates, and social media content.
- Attend networking events and engage with local event planners and industry professionals to expand our client base.
Maintenance and Facility Management:
- Oversee the cleanliness and maintenance of the event space, ensuring it is in excellent condition for each event.
- Coordinate with Headquarters Chair for repairs and improvements as needed.
- Manage inventory of event equipment and supplies.
Qualifications:
- Previous experience in event planning, hospitality, or facility management.
- Strong interpersonal and communication skills.
- Excellent organizational and time-management abilities.
- Proficient in Microsoft Office Suite and event management software.
- Customer-focused attitude with a dedication to providing exceptional service.
- Flexibility to work evenings and weekends as required by event schedules.
